Fast Horse has an immediate opening for an Office Manager. We seek a talented and personable self-starter who can ensure that our books remain current and accurate and that our office runs smoothly and productively. Our ideal candidate is a smart, positive, optimistic, friendly and out-going person who can effectively manage a wide variety of day-to-day administrative duties at an extremely fast-paced and growing creative agency. In short, you’ll be our Chief Cat Herder. We’re looking for someone who can grow in this role and has the potential to take on additional leadership for key aspects of our business.
•Basic bookkeeping, including managing accounts payable and receivables in Quickbooks
•Coordinating our monthly invoicing process
•Coordinating with outside legal and accounting advisors to help ensure key financial reports and legal contracts are current
•Supporting account teams in budget tracking and cash collections
•Coordinating payroll and other basic HR administrative duties
•Coordinating with Fast Horse benefits providers and other vendors to ensure we get quality service and products at competitive prices.
•Organizing physical and digital agency files to ensure that information is readily available and current.
•Maintaining office environment to ensure the comfort of our guests and productivity of our staff.
•Managing Fast Horse headquarter building operations, including coordinating with maintenance and repair people
•Making every one of our guests feel like they are the most important person in the world.
•Answering phones, greeting visitors and coordinating with delivery people
•Organizing agency events and activities, ensuring that we celebrate often and well.
•Providing administrative support on a variety of client projects, from coordinating travel to sourcing vendors.
•Ensuring that our office is tidy, organized and ready to receive visitors at all times.
•Serving as Administrative Assistant to agency President
•Assisting with a variety of agency marketing projects, from coordinating awards entries to organizing agency events.
•Additional duties as assigned
•Microsoft Office and other basic computer skills
•Basic accounting and knowledge of Quickbooks
•Strong verbal and writing skills
•Full-time, salaried position

•Must have at least three years of demonstrated experience in effectively executing key aspects of the Office Manager position
